ADMINISTRATIVE ASSISTANT - PART TIME
The Company
KLID is a small but mighty NYC-based Interior Design firm specializing in bespoke Residential and Creative Commercial Projects. We are looking to fill a multi-functional position reporting into Principal Designer with a focus on Operations and Logistics.
The Position
We require above all, someone who loves problem solving and does it with alacrity and grace. Our clients and vendors will count on you every day. You will need the organizational skills to plan and implement office procedures and manage all internal and external vendor communications. The ideal candidate is personable, intelligent, logical, articulate, unflappable and self-motivated. A passion for maintaining efficiency and accuracy in a creative environment while building our brand is KEY.
Responsibilities
Manage Operational day-to-day administrative asks to ensure deadlines are met and on track, including but not limited to: communication with a wide range of vendors from design to delivery, i.e. specifying product, placing orders, organizing project inventory, etc.
IVY/QuickBooks Management – Pull monthly Revenue Reports and Liaise with Bookkeeper and Accountant *Experience with Design Program IVY is a plus.
Manage Project Furniture Invoicing & Purchase Orders
Execute order placement with vendors, workrooms and subcontractors
Facilitate and communicate with our White Glove Shipping and Receiving Warehouse, manage and track shipments, keep up to date shipping manifest and manage project timelines.
Organize Trade Accounts/Open new accounts if necessary
Additional Skills
Proficient in Bookkeeping/Budget Management- i.e IVY/Quickbooks or similar accounting software
Ability to develop new processes for execution and efficiency
Proficient in Microsoft Office: Excel, Keynote & Word, and Squarespace
